產品研發檔案分類管理之資訊架構及使用者介面研究

摘要


研發人員的人事異動造成公司的研發技術文件與檔案隨著人員而離去,而公司也在反覆的新人培訓及人員離職的過程中損耗公司成本。所以研發部門開始要求研發人員將技術文件與檔案以資料庫的方式加以紀錄並保存。 研發檔案資料的運用常常因為使用者的目的及經驗不同而有使用上的差異,例如,若由資深研發人員來操作,他因為已經具備豐富的專業知識,對於檔案分類相當清楚,可能只想快速的取得他所想要得到的資訊後便會離開系統,而新進研發人員可能需要完整的檔案分類管理架構作為引導,一步一步的,完整且有規則的取得所需的產品開發技術文件與檔案,或是透過適當的連結作延伸性的閱讀,才不會在檔案分類管理架構中迷失,而對於非研發人員來說,因為對於專業知識的不足,所以常常面對檔案分類管理系統不知所措,這時可能需要引用文件分類幫助使用者準確且快速取得資訊。 本研究主要目的在探討檔案分類架構資料庫與使用者介面對研發工程師的適用性。首先以現況調查的方式了解,現今企業現況並蒐集使用者建議,再以依此建議設計一套實驗網頁系統。針對此網頁介面進行實驗。實驗完成後,將所蒐集而得的結果進行分析,並針對資料庫架構與使用者介面提出建議。 對資料庫架構而言應加入文件類別管理與欄位類別管理的設計。對使用者介面而言應加強幾點功能。文件類別管理,若有相關的介面元件,應整合在同一網頁頁面中,減少層級,以避免使用者新增或修改類別時注意力的分散,增強資料類別之間的關聯性。文件分類代碼輸入即時比對功能,經由部份文字內容即可產生下拉式選單,減少記憶的負擔。

Personnel changes of R&D employees always result in the missing of the technical documents and files of development. The companies waste cost during the repeat processes of training newcomers and quitting of employees. So R&D departments started to require R&D employees to record and store the technical documents and files in databases. The way of utilizing R&D data always varies because of the different purposes and experiences of the users. For example, for an experienced R&D employee, owing to his wealth of professional knowledge, he is very familiar with the archives classification, he just quickly gets the data he needs and leaves the system, however, for the newcomers, he might need an instruction of the archives classification management to guide him to get the necessary technical documents and files of product development step by step, completely and organized, or does some extension readings through proper links, in this way, he will not get lost in the structure of the archives classification management. For non-R&D employees, due to lacking of professional knowledge, they don’t know what to do with the system of archives classification management. In case this happens, file classification has to be introduced to help the users to get the necessary data quickly and accurately. The purpose of this study is to explore the applicability of the archives classification management databases and the user interfaces to the users. First, by the means of field investigation, the present situations of enterprises were studied, the suggestions of the users were collected, then, an experimental website was created based on these suggestions. Experiments were performed with this web interface. After the experiment, all results were collected and analyzed and proposals were advised regard to the structure of the database and user interface. For the structure of the database, file type management and column type management should be involved. For the user interface, several functions should be enhanced. In the file type management, if there are related interface elements, they should be integrated into one webpage, the hierarchy should be minimized to avoid distracting the new users when they try to add or modify the types, the correlation of the types should be strengthened. The type codes of files are input with the function of immediate comparison, the drop down menu can result from part of the texts, reducing the burden on system memory.
